Coordinating the development of bid responses, including bid structure, content and responses to questions and ensure they are submitted as per tender processes and deadlines and assist with the company marketing communications.
Pre-Contracts:
- Coordinating the bid submission process, understanding and communicating weighting and evaluation criteria
- Working with the pre-contract team to create and design high quality proposals, including bid submissions, interview presentations and capability documents in line with the company branding guidelines
- Navigating client portals to obtain tender information, submitting/retrieving and submitting proposals.
- Logging bids all project opportunities and keeping all related information up-to-date on all internal systems
- Proof reading and formatting final material in line with the company branding guidelines
- Regularly updating a library of company standard PQQ and tender responses including CV’s and case studies
- Collaborating with the wider bid team to create winning bids.
- Production of graphics to support PQQ / tender bid responses
- Provide administrative support to the bid team as required.
- Identifying opportunities to enhance and improve the bid process, whilst obtaining and sharing best practice with the team.
Marketing:
- To assist in the development of content for internal and external communications via printed and electronic media maintaining a clear and consistent identity and communication key messages effectively.
- To assist with the collation, analysis and presentation of information/statistics into useable formats and deliver high quality written and oral briefings for team members as required.
- To liaise with external suppliers to co-ordinate the production of communication materials and oversee timely and cost-effective delivery maintaining a clear and consistent identity for the company and communicating key messages effectively.
- Compilation of the project data sheets and the marketing associated.
- To assist with internal and external marketing and communication of business activities.
- To assist in the production of presentation material as directed.
- Assist in the management of in-house events
- Updating the company website with news articles and case studies
Requirements:
- A minimum of 2 years’ experience in a similar role
- Strong IT skills with an accomplished ability to use the Microsoft Office Suite and Adobe InDesign software
- Ability to multi-task and to work to tight deadlines under pressure
- Experienced in formatting, reviewing and proofreading for content and grammar
- Team player and effective communicator, able to develop positive, effective working relationships across functions and outside the company
- Ability to represent the company in a credible, professional and ambassadorial manner
- Strong organisational and administrative skills with excellent attention to detail
- Motivated and flexible individual, happy to initiate activities as well as follow instruction
